The access point is the one that bites hardest. Conference venues are frequently hotels, universities and civic buildings rather than exhibition halls. If your stand arrives crated and needs a forklift, you have a problem before you start. A flat pack cardboard stand goes up a passenger lift in a couple of trips and assembles without tools.

Conference delegates come past your stand in concentrated bursts during coffee and lunch breaks, then disappear back into sessions. You have perhaps ninety minutes of genuine footfall across a whole day. Three design consequences follow:

  • One message, read at four metres. Delegates walking to coffee will not stop to read a paragraph. Lead with a single proposition in large type.
  • Height beats width. In a crowded foyer, vertical elements stay visible above heads. Low, wide stands vanish.

The Sustainability Case at Conference Scale

Conference stands are small, which means the sustainability argument is often dismissed as immaterial. It is not, for two reasons.

First, the volume. A brand attending eight conferences a year with a single use PVC and foamex stand each time generates far more waste across the year than one large trade show build. The per event footprint is small, the annual footprint is not.

Second, the audience. Conference delegates are disproportionately senior and disproportionately likely to be the people writing procurement and ESG policy at their own organisations.
